“What’s the difference between an Answer, a System, and an Engine?” An Answer settles one specific decision—one-time analysis, plain-language recommendation, no ongoing system. A System is a repeatable internal workflow or tool your team uses to produce the same kind of output again and again. An Engine is an ongoing decision system that runs on a schedule and produces recurring operational decisions—data → logic → output → action. Details on the Services page.

“How do I know which one I need?” That’s exactly what the free 45-minute Data & Operations Audit is for. Most operators come in thinking they need one and leave needing a different one. Sometimes the right answer is “you don’t need any of this yet”—and I’ll tell you that, too.

“Do you take dashboard or reporting projects?” No, not as the primary deliverable. Reporting is a thing your team should own. If a dashboard falls out of a System or Engine as a side effect, fine—but I’m not the right person to build “we need a dashboard” as the goal.

“What industries do you work with?” Primarily healthcare practices, clinics, and outpatient operators. I also work with operations-driven services and retail SMBs that fit the same pattern—real data, real margin pressure, no internal data team. Background is healthcare and finance; good methodology travels.

“What kinds of problems do you actually solve?” Problems with direct financial consequences: revenue leakage in process handoffs, collections delays, dead inventory, labor inefficiency, no-show patterns, pricing inconsistency, customer churn risk, and manual reporting that consumes expensive operator time. If the work doesn’t clearly reduce waste or improve a decision, it’s probably not the right engagement.

“Who is the best fit?” Founder-owned or locally controlled operators who can approve scope, data access, and payment without a committee. Engagements where the buyer can move in weeks—not months of procurement or sign-off layers.


Process & timeline

“How long does a typical engagement take?”

  • Answer: 1–3 weeks
  • System: 2–6 weeks
  • Engine: ongoing once built; initial build is similar to a System

“What’s the process from audit to delivery?” Free 45-minute Data & Operations Audit → recommendation (Answer / System / Engine / no fit) → fixed-scope proposal → kickoff → delivery with code, logic, and walkthrough.

“Can you start immediately, or is there a waitlist?” I take at most 3 concurrent clients on purpose. I can usually start an Answer quickly; Systems and Engines depend on current load. I’ll be honest about timing in the audit.


Data & logistics

“My data is messy / spread across systems / partly in spreadsheets. Is that a problem?” That’s the normal starting point. Cleaning and reconciling are part of the work and scoped upfront. I don’t require a platform project before we can do anything useful.

“Do we need to meet in person?” Work is done remote. Birmingham-area clients—happy to meet in person when it’s useful.

“How do you handle sensitive data and confidentiality?” My career has operated under HIPAA, IRB, and Federal Reserve supervision. BAAs, NDAs, and additional security arrangements are available when the engagement calls for it.

“What tools do I need to have?” For an Answer, often just CSV/Excel exports. For a System or Engine, we’ll scope the data access upfront so there are no surprises.


Scope & deliverables

“Will I be locked into a black box?” No. Every engagement ships with the underlying logic, code, and a walkthrough. Your team can run, audit, or extend the work after I leave.

“What if the work starts becoming ongoing?” If a System starts being updated continuously, it becomes an Engine and gets rescoped as one. I’d rather have that conversation early than slowly turn into a scope-creep retainer.


Investment

“How is pricing handled?” Answers and Systems are fixed-scope. Engines are fixed-monthly. Specifics come out of the audit once we’ve scoped the problem, data, and feasibility together. As soft anchors: Answers typically start around ~$3k, Systems typically run from ~$5k, and Engines are fixed monthly anchored around ~$5k/mo—final scope determines the actual number. If the ROI isn’t clear, I won’t take the project; that filter saves both of us time.
